Privacy Policy

1 Who we are

NexGuard ("we", "us", "the Service") is a Discord bot and accompanying web dashboard that provides moderation, logging, and server-management features for Discord communities. This Privacy Policy explains what data we process, why, and what rights you have under the EU General Data Protection Regulation (GDPR / DSGVO).

The Service is operated from Germany. The data controller responsible for your personal data can be reached at:

2 What data we process

To provide moderation and server-management features, NexGuard processes the following categories of data:

Discord identifiers

  • User IDs, usernames, and avatars of members in servers where the bot is active.
  • Server (guild) IDs, names, icons, channel and role IDs.

Moderation & configuration data

  • Warnings, moderator notes, ticket records, tags, and similar content you create through the bot.
  • Per-server settings you configure (enabled modules, thresholds, channel selections, permission tiers).
  • Audit-log entries recording administrative actions performed via the bot or dashboard.

Message content (limited)

  • Where moderation features require it (e.g. auto-moderation word filters, message-delete logging), message content may be processed transiently to enforce the rules you have configured. We do not build long-term archives of general chat.

Dashboard authentication

  • When you sign in to the dashboard via Discord OAuth, we receive your Discord ID, username, avatar, and the list of servers you can manage. We use this solely to authenticate you and show the servers you administer.

3 Why we process it (legal basis)

We process the above data on the following GDPR legal bases:

  • Performance of a service (Art. 6(1)(b)) — to deliver the moderation and management features that a server administrator has chosen to enable.
  • Legitimate interests (Art. 6(1)(f)) — to keep servers secure (e.g. anti-nuke, anti-raid), to maintain audit trails requested by administrators, and to operate and improve the Service.

We do not sell your personal data, and we do not use it for advertising.

4 How long we keep it

We keep data only as long as needed to provide the Service:

  • Configuration, warnings, tags, tickets, and notes are kept until you or a server administrator deletes them, or until the bot is removed from the server.
  • Transient logs (such as certain audit and activity records) are automatically purged on a rolling schedule set by the operator (by default after 30 days).
  • When the bot is removed from a server, associated server data may be deleted or anonymised during routine cleanup.

5 Who we share it with

Your data is processed on infrastructure operated by the Service operator and is not shared with third parties for their own purposes. Limited technical sub-processors may be involved purely to host and run the Service (for example, the server hosting provider and Discord itself, since the bot operates on Discord's platform).

We may disclose data where required by law, or to protect the rights, safety, and security of the Service and its users.

6 Your rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request erasure of your data ("right to be forgotten").
  • Object to or restrict certain processing.
  • Request a copy of your data in a portable format.
  • Lodge a complaint with your local data protection authority.

7 Data security

We take reasonable technical and organisational measures to protect your data against unauthorised access, loss, or misuse. Access to stored data is restricted to the operator. No method of transmission or storage is completely secure, but we work to protect your information using appropriate safeguards.

8 Children

The Service is intended for use in accordance with Discord's own Terms of Service, which require users to meet a minimum age. We do not knowingly collect data from anyone below the minimum age required by Discord in their country.

9 Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
